Discussing Cooperation between Dubai Customs and Dubai Municipality concerning eArchiving
As part of joint efforts exerted to share experiences, develop and enhance relations between strategic partners and boost bilateral cooperation aspects, a delegation from the Corporate Affairs Department at Dubai Customs visited Dubai Municipality. The visit is in line with Dubai Government departments’ strive to conduct benchmarking and learn about best practices applied.
Dubai Customs delegation included Ms Muna Bader, Project Manager at the Corporate Affairs Department, Mr Mohsin Al Khanshoush, Quality Assurance Manager, Mr Mohammed Al Kaja, Government Partnership Senior Officer.
The delegation was received by Ms Aminah Mohammed Bashir, Manager of Documents & Records Management Section, Mr Abdul Rahman Mohammed Khalid, Head of Documentation Unit, and Mr Tariq Al Zarouni, Head of Records Management Unit.
At the beginning, Dubai Municipality officials welcomed the delegation and highlighted the importance of cooperation between local and federal government departments in the country, the realization of efficient communication between them that will achieve and serve mutual interest and utilizing most prominent experiences and best practices applied in the business field.
During the meeting, the delegation learned about best practices applied at Dubai Municipality in the field of eArchiving, particularly documentation. Mr Khalid talked about the responsibilities of the Documentation Unit regarding correspondences (inbox and outbox), external eCorrespondence system, mechanism of receiving external faxes and administrative circulars and providing seals for departments. Moreover, Mr Al Zarouni explained the responsibilities of the Records Management Unit including the mechanism of saving documents and charts, the mechanism of destroying documents and lending them, providing empty files which are obtained after the documents meant to be destroyed are taken out, in addition to maintaining and preparing archiving sub-offices and how to train coordinators on the FTS which involves documents saving and tracking.
At the end of the meeting, both parties stressed the importance of continuous communication between them, supporting efforts and making regular visits to enhance relations and develop and serve the business field.
